About the Australian Academy of Science

The Australian Academy of Science was founded by Royal Charter in 1954 and has an elected Fellowship of 540 leading Australian scientists.  The Academy is a non-profit organisation that provides independent, authoritative and influential scientific advice, promotes international scientific engagement, builds public awareness and understanding, and champions, celebrates and supports excellence in Australian science.  This position is part of a Secretariat of around 70 staff who work as a team to support the activities of the Academy.

About the Role

The Engagement and Support Officer works collaboratively and flexibly within the Diversity and Inclusion team, providing proactive administrative and liaison support to the small team. The Diversity and Inclusion team was established within the Academy to model, promote and influence diversity and inclusion in the science, technology, engineering and mathematics (STEM) sector in Australia which is a key objective of the Academy’s Strategic Plan. The position builds and maintains strong engagement with the team’s many stakeholders and networks and supports a diverse range of activities.

Duties and Responsibilities

Reporting to the Manager, Diversity & Inclusion:

  • Support the Manager, Diversity and Inclusion and other team members to coordinate meetings, travel, financial, administration, invoices and correspondence.
  • Coordinate in-person and online meetings, events and functions in Canberra and around Australia, including those that support early and mid-career researchers and women in STEM.
  • Support and liaison with STEM Women collaborations and events.
  • Proactively develop and maintain a database of stakeholders in specific focus groups using the Academy’s Stakeholder Relationship Management system.
  • Provide secretariat support to a range of established and emerging expert and working groups which are supported by the team, including minute preparation and meeting coordination. 
  • Prepare and collate contributions for Academy newsletters and diversity networks with thousands of members.
  • Support the preparation of guidance on diversity and inclusion matters for the use of Academy staff and Fellows.
  • Monitoring and actioning correspondence in team email accounts.
  • Update and refresh website content as required.
  • Other tasks as required.

Qualifications and Experience

  • High level MS Office skills, and willingness to learn new technical applications to support websites and other engagement activities.

  • Previous experience working in an administration role is highly desirable including meeting coordination and support.

  • Demonstrated commitment to inclusion and willingness to expand knowledge of STEM in Australia, and diversity and inclusion issues.

  • Demonstrated ability to provide administrative support across a professional team, including strong attention to detail.

  • Developed stakeholder engagement capability.

  • Well-developed oral and written communication skills.

  • Initiative and self-motivation, including the ability to manage multiple tasks and competing deadlines.

  • Entry level data collection and analysis skills
