This position is part of a Secretariat who work as a team to support activities undertaken by the Academy.

About the Role

International activities

The Academy facilitates Australia’s access to global science and technology, promotes strategic partnerships between Australian and overseas researchers, and contributes Australian expertise and leadership in regional and global science networks.

Awards

Central to the purpose of the Academy is the recognition and support of outstanding contributions to the advancement of science, via awards for early, mid and career level; as well as grants and lectures that support scientists to undertake research projects; and sponsorship of research conferences on rapidly developing fields of research.

The International and Awards Officer provides high-level administrative support to the Academy’s Director-International to deliver a series of international events and activities, and the Awards Manager to assist in the delivery of an annual program of Awards and related events. 

This position is part of a small, close-knit team, with shared responsibilities, where collaboration and engagement with the rest of the organisation, including Academy Fellows, as well as many external stakeholders across Australia and globally, is essential.

Duties and Responsibilities

Reporting to the Director International Programs and Awards Manager

  1. Provide high level administrative support to the International Programs (Academy’s international symposia/workshops, visiting international delegations, relationships with sister scientific academies, Australian missions overseas and foreign missions in Australia).
  2. Assist with the processing and management of applications from Australian and overseas scientists, wishing to participate in the Academy’s International Programs, and assist with the administration of successful applications, including liaison with Australian hosts of overseas scientists and arranging visits to Australia.
  3. Assist the Awards Manager to manage honorific, research, travel and conference awards, including the processing, management and administration of applications for these activities.
  4. Assist with Awards administrative tasks, including taking minutes of committee meetings, managing  Award dinners, and managing nomination and dissemination of non-Academy awards to the community. Maintain and update the external awards webpage.
  5. Draft written materials on behalf of the International Programs and Awards section, including position Papers for Council, reports for Australian Government departments, and contributions to the Academy’s website, newsletters and annual report.
  6. Liaise with the President, Foreign Secretary and other Fellows to support the international work of the Academy and with the Secretaries of Physical and Biological Sciences to support the Awards work of the Academy.
  7. Undertake other duties as required, including sharing duties with other staff from time to time.

Qualifications and Experience

  • Formal relevant qualifications (essential)
  • Proven administration and organisational experience
  • Experience working with international stakeholders or programs is highly desirable
  • Experience working in management of awards is desirable

  • Demonstrated ability to provide high level administrative support and program coordination
  • Strong attention to detail, organisational capability and ability to manage competing priorities
  • Excellent stakeholder engagement skills and be able to interact with a diverse range of people, including overseas stakeholders
  • Excellent written communications skills and ability to draft complex written materials
  • A commitment to workplace diversity, workplace participation, WHS and equity principles.
