The Academy email signature tool

To create your Comms-approved email signature, simply enter your details into the form provided below.

Please read over the instructions and hints on this page both on the side of the form, and at the bottom of the page.

Note that this page will be updated often to make it more useful. If you have any changes or suggestions for making this more useful for your personal use case, please contact ICT who will assist.

 

N.B. the below form has been filled out with example details of a former staff member to indicate how to fill in the form. Please replace these fields with your own information.

Instructions for how to modify your email signature

Outlook on Desktop

  • Fill in your details in the above form. Click the make your signature button, and check the preview. Once you're happy, click the copy main signature button.
  • Open Outlook on your computer, and create a new email.
  • Navigate to the Insert tab in the top ribbon. Click the drop-down arrow and select Signatures ...
  • Click New and name the signature something appropriate that you can remember (perhaps default). Click ok.
  • In the Edit signature section, paste your copied email signature (ctrl+v on Windows, cmd+v on Mac).
  • Click Save and then under Choose default signature at the top right, under New messages select the signature you just named from the drop down list.
  • Switch back to this page and click the copy reply signature button.
  • Repeat the above steps to paste in a new signature called reply (or something else). Select this reply signature for replies/forwards.
  • Click Ok and you should now be done.
  • As a final test, close and discard this current email window, and open a new one. Send yourself an email as a test to check that everything is working as expected. If you like, you can also send an email to Comms and we can check that the code worked properly for you on your computer (Please use a subject line Test email signature Outlook Desktop).

Outlook in Office365 (web browser version)

  • Fill in your details in the above form. Click the make your signature button, and check the preview. Once you're happy, click the copy button.
  • Login to your Office 365 environment and open Outlook
  • Click on the settings gear icon in the top right corner. Type signature into the search bar, and click on the option that should appear called Email Signature.
  • Click on the New button and name the signature something appropriate that you can remember (perhaps default).
  • In the box, paste your copied email signature (ctrl+v on Windows, cmd+v on Mac) and then click Save.
  • Under Select default signature below, under New messages select the signature you just named from the drop down list.
  • Switch back to this page and click the copy reply signature button.

Outlook email client on Mobile

  • Open this page on your phone and fill in your details in the above form. Make sure to select the No image option in the banner dropdown. Click the make your signature button, and check the preview. Once you're happy, click the copy button.
  • Open Outlook on your iOS or Android device.
  • Tap the home icon in the top left corner, then the setting gear icon at the bottom left.
  • Tap on the signature entry, and select everything in the signature area and delete (if you have multiple accounts logged in, ensure to set the signature for the correct account).
  • Long press to in the signature area to bring up the option menu, and paste the copied signature in.
  • You should now be done.
  • As a final test, close and create a new email. Send to yourself as a test to check that everything is working as expected. If you like, you can also send an email to Comms and we can check that the code worked properly for you on your computer (Please use a subject line Test email signature Mobile Outlook and include what kind of phone you are using).

Other email clients on mobile and desktop

Limited testing has been done using other email clients and tools, and a version of the above processes will generally work but a specific process cannot be articulated here. As there has been less testing for other applications, please send a test email from your app to Julia with the subject Test email signature Other and clearly articulate what tool or app you are using. This will help us troubleshoot if others have any problems. If you need assistance, please get in touch.
